How are lead follow up actions determined and what are their time frames?

Actions are created in one of two ways: as a follow up scheduled during a proactive CheckIn, or as a result of a lead follow up flow. The determination of the lead follow up action is predominantly based on the information they leave behind. For example, if a lead leaves behind their phone number, the initial follow up action will be set to “Call”.

To ensure timely follow up, all first actions will be scheduled for completion within 30 minutes. In addition, the action sequence for Hot leads and New leads will be slightly different to help increase your effectiveness.

HOT Lead:

  1. If a phone number is provided, then a Call action is set to “call in 30 mins” with a Door Knock action scheduled for the next day.

  2. If only an email is provided, then an Email action is set to “email in 30 mins” followed by a Door Knock action scheduled for the following day.

  3. If no email/phone is provided, then a Door Knock action is scheduled for completion within the next 30 minutes.

NEW Lead:

  1. If a phone number is provided, then a Call action is set to “call in 30 mins”. A Door Drop action will be scheduled for 14 days later.

  2. If only an email is provided, then an Email action is set to “email in 30 mins”. A Door Drop action will be scheduled for 14 days later.

  3. If no email/phone is provided, then a Door Drop action is scheduled for completion within 30 minutes.

On-going follow up actions are set for you to “just checkin” 60 days later, keeping you in contact with all leads on a consistent basis.
