Mass actions allow you to view, mark done, print, send, and/or delete a large number of activities. You can perform the following procedures from many areas in 8i. These instructions tell you how to perform them from the Activities Summary screen.
Tip: You can update settings for
multiple plan activities from the Plan
Activities tab. For more information, see "Mass
Updating Plan Activities".
Open the Activities
Summary screen. How?
From the Main Menu bar, go to Calendar > Activities Summary.
Select the type of activity you want to view from the Type drop-down list, and then click the Show Activities button.
Select the check boxes of the activities you want to view. Select the header check box to automatically select every activity in the list.
Click the Mass Open Activities link. Click the <Prev and Next> links at the bottom of the screen to view the selected activities.
Note: For instructions on how to delete multiple activities in a plan, see the "Deleting Plan Activities" topic.
Open the Activities
Summary screen or the record's Activities

Activities Summary screen: From the Main Menu bar, go to Calendar > Activities Summary.

the record you want to work with. How?
Contact Record: From the Main Menu bar, go to Contacts > Contacts Summary. Click the contact's row to open their contact record.
Referral Record: From the Main Menu bar, go to Contacts > Referrals Summary.. Click the referral's row to open their referral record.
Listing Record: From the Main Menu bar, go to Listings > Listings Summary. Click the listing's row to open the listing record.
Closing Record: From the Main Menu bar, go to Listings > Closings Summary. Click the closing's row to open the closing record.
Click the Activities tab.
Select the type of activity
you want to work with. More
Info:
From the Activities Summary screen, select the activity Type from the drop-down list, and then click the Show Activities button.
From the Activities tab, click More Options in the top right. Select the activity Type from the drop-down list, and then click the Show Activities button.
Select the check boxes of the activities you want to delete. Select the header check box to automatically select every activity in the list.
Click the Mass Delete action link.
Click Yes in the confirmation dialog box.
The activities are deleted.
Warning: There is no "undo" function for Mass Mark Done actions. However, you can reverse a mark done action for an individual activity. For more information, see the "To undo a mark done" procedure.
If you are working with activities from the:
Activities Summary screen, you can search for the activities by specifying search criteria and then clicking Show Activities. Otherwise, proceed to step 2.
Listing To-Dos or Closing To-Dos screen, click the To-Dos link in the appropriate section.
Contact/Listing/Closing record, click the Activities tab.
Select the check boxes beside the activities, or select the check box in the header to select all activities.
Click the Mass Mark Done link.
When the Mass Mark Done dialog box appears, click Yes.
If the activities are parent activities(activities that have dependent activities that won't occur until they have been completed) or activities that are linked to a listing or closing, proceed to step 5. Otherwise, skip this step.
If you are working with:
Parent activities(activities
that have dependent activities that won't occur until they
have been completed) specify the activity completion
dates on the Set Completion
Date dialog box. More
Info:
Enter
the Completion Date
for the displayed activity. Example:
Activity B is scheduled to occur 10 days after Activity A is completed. Activity A was not completed on the scheduled date. Activity B will occur 10 days after whatever date you enter in the Completion Date field.
Click Next to specify dates for the remaining activities, or Use This Date for all Remaining to use the specified completion date for all remaining activities.
Listing
or closing activities the Add
Activities to Service Activities dialog box appears.
More Info:
Select whether you want to create service activities. The activities will be included in the service report you give to your clients.
Yes & Add Details Now: Marks the activities done, creates service activities and allows you to record details. Proceed to step b.
Yes & Add Details Later: Creates service activities and allows you to record details at a later date.
No: Marks the activities done. Service activities will not be created.
From the Add Service Activity dialog box, specify the details and then use <Previous Activity and Next Activity> to record the remaining activity details. Click Done when finished.
Warning: There is no confirmation dialog box for Mass Send actions.
Open the Activities
Summary screen. How?
From the Main Menu bar, go to Calendar > Activities Summary.
Select Email from the Type drop-down list, and then click the Show Activities button.
Select the check boxes of the activities you want to send. Select the header check box to automatically select every activity in the list.
Click the Mass Send action link.
All activities that were successfully sent are automatically marked done.
Open the Activities
Summary screen. How?
From the Main Menu bar, go to Calendar > Activities Summary.
Select Letters, Postcards, Envelopes or Labels from the Type drop-down list, and then click the Show Activities button.
Select the check boxes of the activities you want to print. Select the header check box to automatically select every activity in the list.
Tip: When mass printing postcards or labels, you must select postcards/labels that are of the same size. If you do not, you will be prompted with a message telling you to make new selections for the mass print job.
Click the Mass Print action link. If printing anything other than labels, skip to step 6.
If printing labels, the Print Labels dialog box appears:
In the Starting Position section, click a label to select where to begin printing. The starting position is colored light green.
Use the drop-down list to select how many Copies Per Contact you want to print.
Click Print.
From the Preview Activity screen, click the Print icon to display your local Print dialog box.
Click the OK button to print the items. If you are printing anything except letters, you are now finished.
If you want to print labels or envelopes for the letters you just printed, scroll down the Preview Activity screen to view the Envelopes and Labels section.
Select whether you want to print labels or envelopes, and then use the drop-down lists to choose the category and template.
Click the View & Print button. If you are printing an envelope, skip to step 12.
If printing a label, the Print Labels dialog box appears:
In the Starting Position section, click a label to select where to begin printing. The starting position is colored light green.
Use the drop-down list to select how many Copies Per Contact you want to print.
Click Print.
From the Preview Activity screen, click the Print icon to display your local Print dialog box.
Ensure that your printer is loaded with either the envelopes or labels you want to use, and click the OK button to print the job.
Tip: Printing a correspondence item does not automatically mark the linked activity as "done". Perform a Mass Done action to close all of your newly completed activities.
