In Top Producer 8i, the types of tasks that drive your daily schedule are referred to as "activities". Activities can be divided into two categories: timed activities (appointments and team appointments) and untimed activities.
Timed activities are those that must be performed on a specific date and time and can be viewed on your calendar. Untimed activities are more varied, but are usually tasks that must be performed before a certain date or within a date range.
Activities can be viewed from the My Business portlet, Activities summary screen, and in the Activities tab of the contact, lead, referral, listing, or closing record for which they have been scheduled.
Activities can be created individually and linked to a particular contact, referral, listing, or closing record, or they can be defined as a part of a plan and applied automatically whenever that plan is used. Whenever a plan is applied to a record, all of the activities within the plan are automatically linked to that record.
The types of activities you can schedule are as follows:
Appointments: Appointment activities will appear as time commitments in your Calendar.
Tip:
If you use the Google Calendar, you can set up Top Producer Google Sync to sync your appointment
details between Top Producer and Google. If instead you use the Outlook
Calendar, you can set up Top Producer Outlook Sync
to sync these details as well.
To-dos (Untimed): To-dos can be events such as planting a lawn sign, running an ad, or arranging a walk-through. To-dos can have due dates, but are not timed activities; thus, they will not appear as appointments in your Calendar.
Calls (Untimed): Calls are just a specific form of a "To-do" activity. The main difference between a call and a to-do is that you usually need to contact the customer and by a certain date.
Correspondence items (Untimed): Correspondence items (email, letters, envelopes, labels and postcards) are essentially to-dos to which you can attach a marketing template.
There are various ways in which you can view, schedule, edit and delete activities. However, the procedures covered in this section are mainly from the Calendar main menu bar:
