The Add/Edit Plan Activity Screen

This screen is used to add activities to plans and to edit activities that are already included in plans. Note that this screen is not used to schedule activities in your calendar, but rather to work with a plan, which are pre-defined series of activities that you can assign as a group.

Activity types: To-do, Call, Letter, Envelope, Label, Email, Postcard. (Note that you cannot add Appointment activities to plans.

Activity Details

Description

Select a description from the drop-down list, or enter one in the text box. To add a description to the drop-down list for future use, click the Add link and specify a value.

The description will appear as the first row item in the Activities tabs and in the Calendar Landing screen.

Assigned to

If part of a team or broker account, the other members of your team are available via this drop-down.

In addition, you can also assign Action Plan activities to whoever the lead/contact is assigned to by selecting Lead/Contact 'Assigned to' Agent. The Lead Info tab in the contact/lead record displays who the contact/lead is assigned to.

Event Due

The Event Due value can be defined in relation to the plan start date or defined relative to the completion of the preceding activity (i.e. if the preceding activity is not marked as "complete" the activity will never be triggered).

If the Preceding Activity option is selected, a drop-down list appears containing the description of every activity in the plan. Select the activity that you want the new activity to follow.

Priority

Select from High, Medium and Low. This setting is is displayed in the Activity Details screen, but is currently not used for searching/sorting in Top Producer 8i.

Drop from Activities

Number of days before the activity is dropped from the Activities Summary screen.

Selecting Do not drop off ensures that the activity remains in the Activities Summary screen until you mark it done if you are viewing a specific activity type. The Do not drop off setting is not applicable when viewing All Activities on the Activities Summary screen.

Weekend Activities

Gives you the option of moving activities that fall on a Saturday or a Sunday to the next business day forward or back.

[Activity_Type] Templates

This fieldset is visible only when creating Letter, Envelope, Label, Email, or Postcard activities.

Category

Within Top Producer 8i, templates are organized into categories to make locating them easier. You can make things easier still by creating personal copies of your favorite templates and storing them in your Personal category.

Template

Available templates in the category you selected appear in the drop-down.

You can preview or edit the selected template. If the template is a default template, you are prompted to create a personal copy after editing.

If working with an email or letter template, you can also create a new template.

Email Attachments

Email templates only.

Automated Send?

Email templates only.

If set to Yes, an email message based on the template will be sent to the contact on the activity day without you having to preview it and send. If set to No, an activity will appear in the My Business portlet, from which you will be able to preview, edit, and send the email.

Include Signature

Email templates only. Allows you to include or exclude your signature for that particular email message.

Notes

Any notes associated with the activity appear in the Notes section. You can add, modify or delete a note by typing or removing text in the Notes section.
