When a service report reaches its scheduled date, Top Producer 8i automatically creates it and adds it to the Service Reports summary screen (unless it is part of a plan, in which case you must mark done the previous report for the next one to appear). From there, you can view it, adjust the date range of the service activities displayed in the report, publish the report and send it via email.
Note: This procedure applies to service reports which have reached their scheduled generation date and are now ready to be published or sent as an email attachment.
To view or edit a generated service report:
Open the Service Report screen. How?
The Service Report screen for the selected report is displayed. If the current service report is a closing service report, the screen contains three tabs. If the current service report is a listing (marketing) service report, the screen contains four tabs:
Service Report Details tab.
The Service Report Details tab contains the Report Name, scheduled date, who the report has been prepared for and the type of service report (periodic or cumulative). You can edit the fields by clicking the Edit Service Report Details action link.
Service Activities tab.
The Service Activities tab contains the list of service activities that the report will contain. You can adjust the report's Date Range to hide or reveal the desired service activities or showings. You can edit an activity by clicking on its name.
Warning: Editing an activity will also update the activity in the listing or closing’s Service Activities (and Showings) subtab. Deletion of service activities and showings can only be done within the listing or closing’s Service Activities (and Showings) subtab.
Marketing Data tab (Listing Service Reports only).
The Marketing Data tab allows you to include marketing data in your service report or edit the existing marketing data. You can edit the fields by clicking the Edit Marketing Data action link. Changes you make here are not reflected in the defaults that are specified in your Service Report settings.
Service Report Options tab
The Service Report Options tab allows you to define or update your Service Report Text, Report Content, Service Report Footer, Agent Contact Info, and Service Report Colors. You can edit the fields by clicking the Edit Service Report Options action link. Changes you make here are not reflected in the defaults that you specified in your Service Report settings.
Any changes you make to each tab must be saved before you exit the tab or the changes will be lost.
