When you've successfully closed a sale in which both the buyer and seller have Contact Records in your Top Producer 8i database, 8i allows you to transfer ownership of the property from one contact to another.
Transferring the property within 8i will preserve the details of the purchase and any notes you made on it. It will also allow you to assign a long-term post-purchase plan to the new buyer. This will insert reminders into your Calendar and Activities Summary table to prompt regular communication with the contact.
To transfer a property:
Open the
Closing Info tab.
How?
Click the Status field.
This field is now editable.
Select Closed/Paid from the Status drop-down.
Select Yes in the Transfer Property dialog box.
The Transfer Property screen appears.
In the Buyer options section, specify whether the new property will be an investment property or the primary property in the buyer's contact record.
Transfer closing property as investment: Sets the new property as an Investment property.
Transfer closing as primary and keep a record of the sold property: Sets the new property as the Primary property, but still maintains all records of the previously-owned property.
Transfer closing as primary and change current property to an investment property: Sets the new property as Primary, and the old property as Investment.
Transfer closing property as primary and delete current primary property: Sets the new property as Primary, and deletes ALL references to the previously-owned property.
Warning: Selecting this last option will remove any references to the previously-owned property. If you want to keep a record of this property, select the 2nd option.
Specify the Seller Options. The Seller Options give you the opportunity to select a new primary property for the seller (but only if the closing property was defined as the seller's primary property). Add a new property to the seller's contact record, or add a new property at a later time.
Click the Transfer Property button.
The property will now appear as a part of the buyer's contact record and appear as a Pre-Owned property in the seller’s contact record.
