Incoming and outgoing email messages are linked to associated contact records in order to make it easier to locate these messages using the Inbox filtering feature.
Messages that you compose and send from within the Inbox will automatically be linked to every contact with an email address matching any of the addresses in the To, Cc, or Bcc fields.
Messages that arrive in the Inbox will automatically be linked with every contact with an email address matching the email address in the From field. Addresses in the To, Cc, or Bcc fields are not linked in incoming mail.
Important: Your Top Producer 8i Inbox is only active if your Email settings are set to use either your @topproducer.com account or another external email account. If you have not done so, then the Inbox email application is not relevant to you.
To add links:
The procedure below describes how to link single or
multiple messages to one or more contacts using the Link
to Contacts button. However, you can also use the Links
icon to link a single message
to one or more contacts.
Select the folder that contains the message(s) you want to link.
Note: You cannot link a message stored in the Drafts folder. You will need to send the message first before you can link contacts to it.
Select the check box(es) beside the message(s), and then click the Link to Contacts action link.
From the Search for Contacts screen, specify search criteria and then click Search, or click Search without entering search criteria to display all contacts.
From the Search Results grid, select the contact(s) you want linked to the message(s), and then click Link to contact(s).
The contact(s) are linked to the message(s), and the Inbox reappears. You can view contacts that are linked to a message by following the procedure below.
