Setting Up Auto Apply Plan Rules

You can automatically assign plans to incoming leads. A different rule can be created for each unique combination of Lead Type, Source, Sub Source and Other Source. Note that this differs from manually applying plans to contacts, leads, referrals, listings and closings (see Applying a Plan).

To define an auto apply plan rule:

  1. Open the Auto Apply Rules for Leads screen. How?triangle.gif

  2. Click the Add Rule action link.

  3. From the Add Rule form:

    1. Define a name for your rule.

    2. Select the Lead Type (Buyer, Seller, or Buyer/Seller).

    3. Select the Source(s).

    4. Select the Sub Source(s) if applicable.

    5. Select the Other Source(s) if applicable.

    6. Select the plan(s) that you want applied to incoming leads that match your criteria.

    Notes:

    • For more information on the above fields, see the "Add/Edit Rule Form" topic.

    • When comparing incoming leads to your criteria, Top Producer 8i joins the Type, Source, Sub Source and Other Source fields with AND operators, and joins any multiple picks that you made within those fields with OR operators. For example: Type[Buyer OR Seller] AND Source[Ad OR Lawn sign] would match buyers who responded to an ad, sellers who responded to an ad, buyers who responded to a lawn sign, and sellers who responded to a lawn sign.

  4. Click the Add Auto Apply Rule button.

    Note: You can have only one rule per criteria, so if the rule you just created overlaps with another pre-existing rule, you will be offered the opportunity to either automatically modify the pre-existing rule so that it does not overlap the new one (no action required on your part), or modify the new rule that you just created.
